Annual Meeting 2009

November 10, 2009

Julie called the meeting to order at 6:45 p.m.

Minutes of August 19, 2009:

As approved at the August meeting, Marilyn presented the following Team Equipment Policy:

 

As of the 2010 paddling year, the team will provide a lifejacket, a paddle, and a paddle bag for a deposit of half the cost of those items.  This is contingent on the member having paid the required membership fee (the membership fee includes a team jersey).  At the end of the season, if the member does not wish to keep any or all of these items, the member may return them and have the appropriate amount of the deposit reimbursed.     The deposit would be reimbursed minus any outstanding fees (e.g. commitment fee).  Otherwise, the member may keep the items. The items may not be personalized unless they are purchased.

 

Also for items purchased in 2010 and beyond, the member will be responsible for the cost to replace a lost or damaged lifejacket, paddle or paddle bag.

Heather submitted the following report of her attendance at a presentation about vitamin D hosted by the U of S College of Pharmacy and Nutrition.

 

The presenter was Carole Baggerly who is the director of a group that does advocacy related to vitamin D  (www.daction.org)  Carole is not a medical researcher, but appears to have support from a panel of scientists from several universities. The group recommends a serum level of vitamin D of 100-150 nmol per litre for the general population. (Specific recommendations for breast cancer survivors were not made). The levels that she suggested some people might need to take to achieve this level are very controversial at this time and exceed the upper limit of intake included in the current Dietary Reference Intakes for the U.S. and Canada. (An update of these recommendations may be released in 2010.) Current research with regard to optimal vitamin D intake and blood levels for breast cancer survivors appears to be lacking. Reminder that everyone should discuss all supplement use with their doctor.

Bay Night Anyone interested in joining other team members on Friday, November 14, 2009 at “Bay Night” is welcome.

Presentation of cheque to Saskatchewan Cancer Agency: Team members presented a cheque for $5000 to the Saskatchewan Cancer Agency on Wednesday, October 21, 2009. This received  coverage in several community papers already and will be reported in the Saskatoon Star-Phoenix soon. A picture of the team was in the Saskatoon Sun this past weekend. Julie will look into coverage in the Neighbourhood Express.

Christmas Social: this will be held on December 6 at Marie Jolly’s home at 3 p.m. There will be an inexpensive (/tacky!?!) gift exchange. Potluck supper at 5 pm. Spouses are invited and can bring a gift too.

Team Dress Jerseys cost $40-$45. Two people are interested in ordering jerseys. Let Marilyn or Norma know if you would like one.

Treasurer’s Report: The bank balance is $6,187.41 (chequing account). We haven’t been billed for the boat rental yet. (This was $1,340 last year). Expenses from Blaine Lake, the Festival of Trees and the Christmas party have not been deducted yet. After deducting these expenses, the balance in the chequing account will be approximately $4,100.

Term Deposit: $5,000 was taken from the term deposit for the donation to the Cancer Agency. The team decided at an earlier meeting to match any funds raised towards the Peterborough Festival from team funds.

Funds already allocated to Peterborough:

June/09 BBQ  -                       $613.87                       Total = $8,558.98

New fundraising matched by team funds (to a max of $5,000) for Peterborough:

Gould’s BBQ  -                       $327.39           x          2          = $654.78

Clothing Fundraiser    -           $1,155.67        x          2          =2,311.34        Total = $2,966.12

So, at this point $11,525.10 ($8,558.98 + $2,966.12) is designated for Peterborough, which divided by 25 paddlers would be $461.00 each.

Although the term deposit balance is $21,387.59 now, the $11,525.10 as calculated above would need to  be transferred from it, reducing the balance to approximately $10,000. As well, Pat pointed out that this could potentially be reduced by another $3,500 (to match funds, if the team is able to raise another approx. $3,500 for Peterborough). That would leave the term deposit at something near $6,500, with the chequing account in the area of $4,000.

All Peterborough participants have paid their registration fees and a deposit on their rooms. The anticipated expenses for each paddler are:

Flights (quote from Westjet)                           $600

Hotels (approximate)                                      $320 (each team member has made a $50 deposit)

Bus—Toronto to Peterborough                      $100

Total (excluding personal expenses)               $1,020—at this point reduced by approx. $461

Each team member has paid registration $280-305, which includes several meals, etc.

Proposed Budget: Blaine Lake Fundraiser: Cheryl got three coupons (at a discount) for a one-night stay at the Radisson to give to the communities of Blaine Lake, Marcellin and Leask to be used for their community fundraisers, as a thank you gift for the support shown to BWE at our fundraiser.

Thank You: We received $120 from Aaron Chubb, owner of OrGano Gold Coffee, towards the Peterborough Festival.  We received a donation of $285 from Goulds.

Cheryl moved, seconded by Linda Bowie, that BWE not provide matching funds for donations. Carried.

Susan moved, seconded by Bev, that the team buy a $100 gift certificate for gas for Pat Zabos’s sister Deb to thank her for the recent clothing fundraising. Carried.

Peterborough Festival: June 10-13, 2010. Twenty-four people have registered to attend the festival. Frances will contact Dee Sandberg to ask if she will make the team travel arrangements.

Lethbridge Festival: June 25-27, 2010. Thirteen people expressed interest in going to Lethbridge. At last year’s festival we won a coupon for $250 towards registration for this year.

Cheryl moved, seconded by Pat Chubb, that BWE limit our fundraising to dragonboat-related expenses, not for donations to charities. Carried.

Past Manager: Frances Messier-Demers (in place of Sandra Messett)

Helen moved, seconded by Pat Chubb, that the Treasurer be authorized to provide committees with budgets: the social committee with $500, the cheer committee with $150, and the fundraising committee with $150 for floats for fundraising events. One person on each committee is to be responsible for the money. Carried.

Volunteer Committees:

Cheer: Marge Beaver (with Edna, who was not present, or Pat C.)

Social: Linda B, Bev, Phyllis, Peg, Susan

Fundraising:

There was discussion about not fundraising as much as we have been doing. We will continue to need people for the fundraising committee, however, because we plan to go on with the barbecues and may do other fundraising too. For example, Frances reported that Dawn Dust expressed interest in doing another calendar. The commitment fee and the annual team fee will be set at the January meeting. Pat Chubb is interested in the calendar. Marie agreed to help with fundraising. Others are invited to join the committee at the January meeting.

Julie reported from Joanne D.  that the grant we applied for was unsuccessful because we applied too late for this past year, but we can reapply in the spring.

Frances will send out the team policy by email.

Other: Recognition for Past paddlers: Julie has purchased memento paddles. Eight of 12 former members wanted to receive one. Three former team members have theirs already, and the other five will get them later.

Recognition for Coach: Rhona was unable to be at the meeting, but has suggested pool-side practices after Christmas. Julie will take Rhona’s honorarium and some flowers to her.

Heather will contact Valerie Borycki for information about paddle painting.

Pat Z. agreed to reply to an email request for information about the team from a PhD student at the University of Calgary.

A thank you note from Aaron Chubb, OrGano Gold Coffee, was read.

Recognition for Team Manager: Frances presented a gift to Julie in thanks for her dedication as team manager.
